1. Scope and operator

This Privacy Policy describes how PayTime / paytime.today collects, uses, stores, and protects personal and business information when you access the PayTime website, application, and related services.

For the purpose of this policy, PayTime / paytime.today is the operator of the service and determines how information is processed in connection with account creation, authentication, invoice synchronization, payment reminder delivery, support, and service security.

2. Information we collect

We collect account and profile information such as your name, email address, business name, reply-to address, authentication records, and subscription or billing status needed to provide access to the service.

We collect business and service data that you choose to connect or submit, including accounting connection details, invoice identifiers, invoice amounts, due dates, payment-status metadata, customer names, reminder history, and related synchronization events from supported providers such as QuickBooks Online and Xero.

We also collect device, session, log, and usage information such as IP address, browser data, timestamps, request metadata, security events, and operational telemetry used to maintain reliability, prevent abuse, and troubleshoot the service.

3. How we use information

We use collected information to authenticate users, create and administer accounts, connect to supported accounting providers, synchronize invoices, calculate overdue balances, send reminder emails, process payments, provide support, and enforce plan limits or service rules.

We also use information for security, fraud prevention, debugging, analytics related to product performance, legal compliance, and service improvement, including reviewing error logs and operational activity needed to keep PayTime functional and secure.

4. Service providers and integrations

PayTime relies on third-party infrastructure and integration providers. Depending on configuration, your data may be processed through Supabase and PostgreSQL for application data storage, Cloudflare for hosting and delivery, Resend for email delivery, Stripe for billing, Intuit QuickBooks for accounting synchronization, Xero for accounting synchronization, and Google for authentication where enabled.

These providers process data only as necessary to supply their respective services to PayTime. Your use of connected services may also remain subject to the separate terms and privacy policies of those providers.

5. Retention

We retain information for as long as reasonably necessary to provide the service, maintain account continuity, meet legal or accounting obligations, resolve disputes, enforce agreements, and preserve security or audit records.

When accounts are closed or data is no longer required, we may delete, anonymize, or aggregate information, except where retention is reasonably required for legal compliance, fraud prevention, billing records, or defense of claims.

6. Security

PayTime uses administrative, technical, and organizational measures designed to protect information against unauthorized access, accidental loss, misuse, or alteration. These measures include controlled access to systems, encrypted transmission where supported, credential handling, and monitored infrastructure.

No system or transmission method can be guaranteed to be completely secure. You remain responsible for maintaining the security of your own devices, login credentials, connected provider accounts, and internal access controls.

7. International transfers

Because PayTime uses globally distributed infrastructure providers, information may be processed in countries other than the country where you or your business are located. By using the service, you acknowledge that data may be transferred to and processed in such locations subject to applicable safeguards and provider practices.

8. Your rights and choices

Subject to applicable law, you may have rights to request access to, correction of, deletion of, or restriction of certain personal data, and to object to or request portability of certain information.

You may also disconnect integrations, update business details, change reply-to settings, or close your account through the application or by contacting us. We may request verification before acting on privacy-related requests.

9. Policy updates

We may update this Privacy Policy from time to time to reflect changes in the product, integrations, legal requirements, or operational practices. When we do, we will update the effective date shown on this page. Continued use of PayTime after an update means the revised policy applies going forward.
